Job Posting Description
OVERVIEW:
The Global Meetings, Events & Congress Tools and Systems Specialist a key member of the Global Meetings & Events team (GMES), playing a pivotal role in managing event solutions with a strong emphasis on Cvent and the analysis of data related to meetings and congresses.
This role combines in-depth expertise in event technology with strong project management, critical thinking skills, and the ability to translate data into actionable insights.
ACCOUNTABILITIES:
- Serve as the primary point of contact for the enterprise event technology platform, managing vendor relationships, system governance and systems oversight.
- Deliver event technology related training and onboarding for GMES team, stakeholders and vendors; maintains vendor contact details and communicates relevant updates.
- Create and edit Cvent registration sites and AttendeeHub event apps, prepare reporting and data, executing email campaigns in Cvent and overseeing attendee management.
- Maintain and update the GMES SharePoint sites to ensure stakeholders have access to current planning tools and resources.
- Collaborate cross-functionally with business stakeholders to align event solutions capabilities with strategic goals.
- Act as a subject matter expert on policies & processes, delivering training and onboarding for internal teams and external partners.
- Help develop and deliver change initiatives and communication plans related to event solution rollouts, enhancements, and global adoption.
- Analyses program data and KPIs to identify trends, support forecasting, and drive continuous improvement.
- Maintain and update system configurations, templates, portals, and reporting dashboards to ensure data integrity and compliance.
- Support strategic planning for the globalization of meetings and congresses, including documentation of SOPs.
- Oversee workload triage and distribution for internal planners and third-party meeting management companies.
CORE ELEMENTS RELATED TO THIS ROLE:
- Bachelor’s degree preferred; equivalent combination of education and relevant experience will be considered.
- Advanced degree or certifications in event technology platforms (e.g., Cvent Admin) desired.
- 5+ consecutive years of experience in meetings and events, with 3–5 years of hands-on experience in enterprise event technology platforms particularly Cvent.
- Proven ability to multitask on complex projects and cross-functional initiatives with multiple stakeholders, while maintaining deadlines.
- Strong understanding of meeting planning processes, compliance requirements, and global policy alignment.
- Proficiency in Microsoft Office Suite; experience with HTML/CSS and database/reporting tools is a plus.
- Possess exceptional communication skills, both written and verbal, as well as strong customer service abilities for internal and external stakeholders.
- Must be willing to work extended hours leading up to an event.

- Someone with a passion for continuous improvement and for keeping up-to-date with industry trends and developments, which could benefit the program.

- Team Connectivity: Be a conduit between the business, technology and the activation teams and the various stakeholders, including the innovation leadership within Takeda and with external partners, technology delivery teams and GMES Leadership.

- Serve as SME Meetings platforms and technology stacks by keeping current on innovative advances within the meetings industry
- Ability to identify and solve problems through innovative approach and proven problem solving skills

- Natural ability towards a high attention to detail and basic understanding to assess platform integrations and the implications of how a change or configuration in one system may impact other tools in the ecosystem.
- Work with the team to meet and strive to exceed program KPI’s, goals, objectives, timelines and deadlines.

$86,500.00 - $135,960.00The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.The actual base salary offered will be in accordance with state or local minimum wage requirements for the job location.
U.S. based employees may be eligible for short-term and/or long-termincentives.
