Job Description

Job Summary:

The job requires the person to manage Business events and conferences from pre-event planning; managing registration and attendance; setting and managing budgets; researching venues; managing relationships with attendees to ensure the event’s success; overseeing the on-day logistics of all events, running post-event follow up with participants and evaluate events.

Key & Responsibilities & Accountabilities:

Functional(primary job responsibilities) Manage the Business events and conferences and end-to-end (E&E) process: pre-event planning; manage registration and attendance; set and manage budgets; research venue; identify vendors; manage relationships with vendors and internal stakeholders (eg. marketing, sales force, medical, compliance...) to ensure the event implemented smoothly cross-functional; oversee the on-day logistics of all events, run post-event follow up with participants and evaluate events. Follow up with medical association, HCO, or provincial SOH to support logistics and documents in implementing the business events and activities as planned. Archive all documents submitted dossiers for further reference. Archive product materials and conference registration. Prepare all documents for the event and get internal approval. Coordinate 3rd party support for registration of the program. Support Country Manager to provide analyst report and decision-making. Be responsible for all admin activities.

Managerial(team/group responsibilities) Implement all administration related to Business activities. Cooperate with the HR department and/or another department for holding common CO activities (if any).

Organization(organizational responsibilities) Follow all rules and systems of CO and Takeda Global for all activities. The other ad hoc work is related or assigned from time to time.

Qualification / Attributes:

  • University/ College Degree.
  • Read and understand documents in English.
  • Details and process-oriented.
  • Experience in managing vendors/agencies.
  • Prefer Event management in the pharmaceutical industry.
  • Proactive and highly committed to support and deliver results.
  • High Sense of Ownership and accountability for achievement
  • Highly organized and self-disciplined
  • Excellent interpersonal skills- capable of working and relating with senior authorities.
  • Innovative and resourceful with excellent analytical and problem-solving skills.
  • Excellent communication and facilitation skills
  • A good team player with excellent interpersonal skills
  • A compliance mindset is a must.
