Job Description

Responsibilites:

  • This is a key role to support a local Hub from the administrative and business support perspective  
  • Proper functioning of the office in crisis situations but also for the daily basis 
  • Very close cooperation with local BS Lead 
  • Close cooeration with local Leadership team  
  • Support of local events management  
  • Local admin projects management  
  • Taking care and monitoring for health and safety side 
  • Site Business Continuity coordination  

ACCOUNTABILITIES:

  • Coordinating daily work in local Business Support Team and close cooperation with BS side Lead 
  • Responsibility for aspects related to health and safety 
  • Active participation in joint projects for Takeda upon request BS side Lead 
  • Control over the administrative budget - verification of orders, invoices 
  • Supervision over the contracts circulation, cooperation with Business Partners 
  • Managing scheduled meetings internal and external (events and meetings) 
  • Develop and refine administrative procedures using latest technologies to streamline processes  
  • Proactively picking up tasks and delivering in a timely manner  
  • Participates in the maintenance of improvement processes; implements changes to improve processes for direct responsibilities  
  • Cooperation with the building manager 
  • Maintenance of team intranet sites, document management tools and distribution lists  
  • Creating purchase orders and handling documents/contracts  
  • Liaising, problem solving and maintaining satisfactory cooperation 
  • Curious and interested in developing self-further within the business  

EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS:  

  • Several years of experience as an Administrative departments supporting line manager but also working close with senior leaders, ideally in an international environment  
  • Strong knowledge and understanding of local administration environment  
  • Solves complex problems; takes a broad perspective to identify innovative solutions 
  • Integrates and drives the application the plans/tactics for departmental strategy 
  • Makes decisions within constraints of departmental policies and procedures 
  • Works independently under minimal guidance 
  • Excellent communication and organizational skills  
  • Ability to build strong relationships with key stakeholders  
  • Service-minded, solutions oriented, a problem solver, a team player and has a collaborative working style  
  • Desire to put people first and demonstrate the values of Takeda-ism  
  • Professional proficiency in English
