OBJECTIVES/PURPOSE

Takeda is seeking a highly skilled Payroll SME to operation in our payroll functions. Your primary responsibility will be to ensure accurate and timely payment of payroll expenses and taxes. Collaborating with our payroll team and professionals from various departments will be key aspects of your role.

We are looking for an individual who is analytical, methodical, and experienced in payroll administration. A deep understanding of payroll regulations is crucial. Additionally, we value qualities such as integrity, team spirit, and strong organizational skills.

Your ultimate goal will be to maintain compliance, streamline payroll procedures for efficiency, and stay updated with current regulations and best practices.

This is a key role to support the transformation of People Solutions as well as to keep operations smooth and efficient post-project time.

  • Support system improvement and change requests management of HR systems owned by People Solutions.
  • Deliver measurable business value, quality and cost savings as a result of project implementation and process improvement

SCOPE

  • Partnering with the Payroll COE, HR and Finance to ensure the accurate and timely execu-tion of payroll operations.

ACCOUNTABILITIES (Describe the primary duties and responsibilities of the job.  Include only the essential functions of the job. Approximately 5 – 10 bulleted task statements should be identified).

  • Process payroll services in Japan, ensuring accuracy, compliance, and efficiency.
  • Manage payroll system, requiring expertise in HRIS, with knowledge of SAP (payroll module) or ADP Global View considered a plus, to ensure seamless payroll processing.
  • Process and review all aspects of payroll including calculations, deductions, overtime, bonuses, and tax withholdings.
  • Ensure compliance with local, state, and federal regulations; stay current with HR laws affecting payroll.
  • Collaborate with other HR Functions, Finance, Vendors and other departments to improve processes and address payroll issues.
  • Generate reports for auditing purposes and regulatory requirements.
  • Develop best practices to process payroll account transactions (e.g. salaries, benefits, garnishments, deductions, taxes and third-party payments)
  • Coordinate monthly activities end to end for Payroll and Time
  • Ensure compliance with relevant laws and internal policies
  • Coach, help and advice peers on the payroll processes and system usage
  • Liaise with auditors and manage payroll tax audits
  • Collaborate with Human Resources (HR) and accounting teams
  • Maintain accurate records and prepare reports
  • Resolve issues and answer payroll-related questions

Maintaining Stakeholder Relationships

  • Engaging current stakeholders and identifying new key stakeholders to build and enhance successful partnerships
  • Ensure adherence to current SLAs and develop/gain agreement on new SLAs as needed
  • Demonstrate actions to build a reputation as a trusted, knowledgeable, and consistent team and resources for customers by providing professional, courteous, consistent, and educational service to all customers
  • Actively contributes to delivering, maintaining and improving, procedures and processes to increase employee satisfaction, driving performance and achieving results
  • SOP, Process Flow & Work Instruction maintenance

Third-Party and Vendor Management: 

  • Oversee administration of payroll services relating to the region/countries of coverage and ensure a compliant, accurate and effective relationship is in place with the appropriate vendors.
  • Review proposals for new or revised programs/vendor services
  • Review and analyzes vendor utilization to create process and cost efficiencies

  • Experience in managing payroll administration team
  • Knowledge and application of payroll & benefits administration principles, concepts and industry practices and standards desirable
  • Payroll certification desirable

  • HR operations or shared services environment or HR Functional experience preferred
  • Knowledge of HR policies and procedures

Working Style

  • Hybrid work – Work in office at least 2 days a week

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:(List the essential and desirable education and competency requirements to perform the primary responsibilities of the job.  Any minimum requirements should be noted.)

  • Bachelor’s degree required
  • Minimum of 3 years of HR experience required
  • HRIS experience required
  • SAP or ADP GlobalView experience a plus, but not required.
  • Working knowledge with Microsoft Office products is required (Word, Excel, Outlook, SharePoint, PowerPoint, Teams etc.)
  • Working knowledge with Python, PowerAutomate or other system language or tools is a plus
  • Excellent written and oral communications skills in Japanese is required

Takeda Compensation and Benefits Summary:

  • Salary Increase: Annually, Bonus Payment: Twice a year

  • Working Hours: Headquarters (Osaka/ Tokyo) 9:00-17:30, Production Sites (Osaka/ Yamaguchi) 8:00-16:45, (Narita) 8:30-17:15, Research Site (Kanagawa) 9:00-17:45
