The position being described, Travel & Expenses Payable Finance Solutions Staff role, reports directly to the Payable Finance Solutions Lead (TBS-J PS-PFS Lead). The position is accountable for delivering solutions related to spend and reimbursement processes for employee travel and expenses by SAP Concur system.
To aim Operational Excellence, need to collaborate with Global TBS Procurement Solutions team, and TBS-Japan other teams. To be fully accountable for our performance, consider Automation by implementing Digitalization (Generative AI/ Robotic Process Automation) to business processes and promote saving for each department end user and own team members.

ACCOUNTABILITIES

[Major Responsibilities]

  • Design for changes and maintain Travel & Expenses process using SAP Concur for claim and AppZen system for audit check.
    -To adapt immediately to changes liken legal and strengthened internal controls. And required to review processes and modify the Concur system.

-The Appzen system performs a primary check on employee expense claims, then high-risk claims will be checked and approved as the Processor. And configure setting of AppZen to ensure accuracy and reduced workload.

-Utilize dashboard liken BW report to review defined metrics, KPIs.

  • Received the issue report or inquiries from end users via portal web system (Takeda Solution Portal) and reply to them in a timely manner.
    -Responding to technical issues about Concur system in cooperation with global and DD&T staff.

  • Communication regularly with the global team and check the initiatives and KPIs as a part of Global Procurement Solutions member.

  • Continuously improving productivity and improving people experience by promoting optimization, standardization and efficiency of T&E processes and systems to be best in class based on the current and future needs of the business.

  • Promoting automation by implementing digitalization (AI/RPA) in business processes

  • Updating the operation manuals or other documents.

【Skills & Knowledge】

Required:

  • Business-level proficiency in Chinese (Mandarin or Taiwanese) and Japanese

  • Basic Accounting knowledge, especially in Accounts Payable area

  • Communication and interpersonal skills

  • Practical experience of ERP systems (e.g. SAP Finance module, Invoice management system, SAP Concur)

  • Understanding of controls and SOX compliance

  • Solutions mindset

  • Strong analytical and problem-solving skills, including conflict management skills.

  • Project management methodologies (e.g. Agile solution development)

  • Continuous Improvement methodologies (e.g. Lean Six Sigma)

Preferred:

  • People management experience to motivate and grow others based on talent and capabilities.

  • Deep understanding of Source To Pay (S2P) end to end process.

  • Operational Finance experience (e.g. Master Data Management, Treasury)

  • Knowledge of the pharmaceutical industry

  • Business-level English proficiency
