The Senior Pension & Social Insurance Specialist is responsible for the accurate and timely execution of Pension & Social Insurance operations within the payroll team responsible for pension and social insurance administration in compliance with Japanese regulations. This role will serve as the subject matter expert (SME) on statutory insurance and pension schemes, partnering closely with 社労士 (Labor and Social Insurance Consultants), HR, and finance teams to ensure accuracy, compliance, and continuous process improvement.
ACCELERATE VALUE & MAKE AN IMPACT BY:
Payroll Operations
- Support the execution of the monthly payroll cycle including salary, bonus, and special payments.
- Process all statutory and voluntary deductions (e.g., income tax, Resident tax, Social insurance premiums).
- Maintain accurate pension and payroll records and ensure compliance with Japanese labor and tax laws.
- Reconcile pension and payroll data between HR systems and payroll vendors, ensuring accuracy and compliance in the execution process.
- Manage year-end tax adjustment (年末調整) and tax reporting (e.g., 源泉徴収票, 法定調書合計表).
Pension & Social Insurance Administration
- Manage employee enrollment, changes, and termination in the Kosei Nenkin (Employee Pension Insurance) system.
- Collaborate with社労士 for monthly submissions and ensure correct pension premium calculations.
- Process and verify monthly salary change notices (月額変更届) and annual recalculations (算定基礎届).
- Maintain accurate pension records in alignment with payroll and HRIS data.
- Oversee accurate and timely enrollment, changes, and terminations for:
- Kosei Nenkin (Employees' Pension Insurance)
- Kenko Hoken (Health Insurance)
- Koyo Hoken (Employment Insurance)
- Rodo Hoken (Labor Insurance)
- Coordinate with社労士 office for monthly submissions and annual filings:
- Gensen-choshu (源泉徴収)
- Shakai Hoken annual review (算定基礎届) and monthly updates (月額変更届)
- Rodo Hoken Nendo Koshin (労働保険年度更新)
- Monitor and reflect regulatory updates in pension and insurance procedures.
- Maintain internal tracking tools and documentation for all statutory processes.
Compliance & Audit
- Ensure payroll and social insurance practices comply with:
- Labor Standards Law (労働基準法)
- Employment Insurance Law (雇用保険法)
- Health Insurance Law (健康保険法)
- Employees’ Pension Insurance Law (厚生年金保険法)
- Support internal and external audits, labor bureau inspections, and vendor assessments.
- Maintain detailed documentation and audit trails.
Stakeholder Collaboration
- Partner with社労士, finance, HRBPs, and payroll vendors to ensure smooth operations.
- Respond to employee inquiries regarding payroll, pensions, and insurance with clarity and professionalism.
- Train HR colleagues on Japan-specific payroll and insurance procedures as needed.
Process Improvement & Systems
- Identify and implement improvements in payroll and insurance processes.
- Ensure alignment and accuracy between HRIS (e.g., Workday, SAP, COMPANY) and payroll systems.
EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:
- Bachelor’s degree in Human Resources, Accounting, Business, or a related field.
- 5+ years of payroll experience in Japan with strong exposure to pension and social insurance operations.
- Strong knowledge of Japanese pension law (厚生年金保険法) and social insurance system.
- Experience working with社労士 and labor/social insurance authorities
- Fluent Japanese (read/write/speak) for regulatory communication.
- Business-level English preferred for multinational environment.
Technical/Functional (Line) Expertise
- Strong knowledge of Japan payroll, Employee Pension Insurance (厚生年金), and social insurance (社会保険) regulations.
- Proficiency in HR/payroll systems (e.g., Workday, SAP, ADP, HITACHI, COMPANY, 勤怠システム).
- Advanced Excel skills and experience with reconciliations and reporting

Working Hours: Headquarters (Osaka/ Tokyo) 9:00-17:30, Production Sites (Osaka/ Yamaguchi) 8:00-16:45, (Narita) 8:30-17:15, Research Site (Kanagawa) 9:00-17:45
Holidays: Saturdays, Sundays, National Holidays, May Day, Year-End Holidays etc. (approx. 123 days in a year)
